Pattie Attendance Guidelines

Chronic Absences

Chronic Absenteeism:

Missing more than ten percent of the school year for any reason, has been associated with lower reading and math achievement in elementary grades, and class failure and drop out at the secondary level.

If your child surpasses 10 absences in one academic school year, the PWCS attendance officer will collaborate with Pattie staff, and your family, to develop an attendance plan that will ensure your child's academic success.

How to Report Absences

How to communicate your child’s absence: 

All absences can now be submitted through ParentVUE accounts. Reporting your student's absence though ParentVUE will notify the office and the teacher of your child's absence.

If the absence occurs on the same day, or if the absence is up to 30 days in advance, please submit a note through ParentVUE.

Log into ParentVUE, click on the blue "report absence" button. This can be done online or by using the app. You can also upload a Doctor's note.

If the note is for past attendance, please send a note to the office with the Parent/Guardian's name and signature.

What information should be included?

  • Child's First and Last name
  • teacher
  • Date(s) of the absence(s)
  • The reason for the absence(s)

If you would like to send an email, please email your child's teacher and the Pattie Front Office Team [email protected] to notify the school of your child's absence. 

Late Arrival/Early Dismissal

Late Arrivals

Students are permitted to enter the building at 8:45 AM. Instruction begins at 9:00 AM. Students arriving after 9:00 AM will be marked tardy. If your student arrives late to school, park in the parking lot, bring them inside through Door #1 and sign them in. 

If you child arrives on a late bus, they will be marked as  present or bus tardy. This will not affect their attendance record.

Early Dismissals

Please notify the teacher and front office ([email protected]) if your child will be leaving early. Students will not be called down to the office until an authorized adult arrives, presents a physical identification and is confrimed from our system. You will also be required to sign them out.

Please arrive prior to 3:00 PM for an early release as our teachers and staff are transitioning students for dismissal in the quickest manner possible.

Doctor and dental appointments should be made outside of school time whenever possible. If your child must be checked out early, please go through the front office before 3:00 PM.  A student should not be picked up early regularly.

Mandatory Withdrawal

Mandatory Withdrawal

Students will be withdrawn from PWCS student membership rolls after 15 consecutive days of absence regardless of whether their absences are excused or unexcused (as required by the Virginia Administrative Code).

Withdrawn students are not excused from compulsory school attendance requirements and are expected to re-enroll as soon as possible. Students who withdraw to attend a non-PWCS school should notify the previously attended school as soon as possible and make reasonable attempts to follow the withdrawal procedures.

 

Types of Absences

Types of Absences

Excused Absences:

Please communicate absences through ParentVUE or with Pattie Elementary staff. There are many extenuating circumstances that will reflect an excused absence.
Examples of an excused absence may include, but are not limited to, the following reasons:
  • Illness, isolation, or medical exam or treatment
  • Mental/behavioral health illness, disorder, or disturbance
  • Death in the immediate family
  • Religious, faith, or commemorative observances
  • Family emergencies with student’s home
  • Hazardous conditions to get to school
  • Postsecondary exploration (seniors)
  • Court appearance
  • Visiting active-duty parent/guardian
  • Suspension
  • Other reasons deemed acceptable by the principal

Unexcused Absences:

Examples of unexcused absences include, but are not limited to
  • All-day truancy
  • Class truancy
  • Missing a ride, a bus, or car trouble
  • Prearranged absences without proper prior notification or justification and prior approval
  • Failure to timely produce an appropriate explanation for an absence or requested documentation
If a parent/guardian does not contact the school, they will be classified as unexcused. See the attendance ladder found at the bottom of this page for unexcused absence guidelines. 

Prearranged Unexcused Absences:

Parents are encouraged to minimize absences during school hours and to plan family trips and vacations during school holidays.  View the PWCS school Calendar
Requests for prearranged absences for longer than one school day should be for extenuating circumstances and must be submitted in writing to the principal within a reasonable time for the school to review, approve, and assign the absence type of excused or unexcused. Prearranged absences for longer than five school days must also be reviewed by the Student Health and Wellness Department.

Prearranged absences that are beyond 15 consecutive school days will result in the withdrawal of the student from school (which is required under Virginia law).

Teachers shall have discretion to decide the type and amount of work and when students shall make up work for preapproved absences. Teachers are not required to provide assignments in advance of the absences but may do so at their discretion. Parents and students are encouraged to work with teachers before the absence to develop a plan for making up missed work, including expected deadlines.

Students must physically be in person in order to be marked present. Parents and students are encouraged to work with teachers prior to the absence to develop a plan for making up missed work. If your family is going on vacation or taking a trip, please notify the school, but note that it will be listed as a Pre-Arranged Unexcused Absence. 

Unexcused Attendance Procedures By Number Of Absences :

1-4 Unexcused Absences: School personnel contacts home.
5+ Unexcused Absences: Initial Conference with school counselor/school personnel
6-10 Unexcused Absences: Interagency Meeting with administration and parent/guardian 
11+ Unexcused Absence: Referral to Attendance Officer to develop and attendance plan
